Agency can store information on multiple types of users in CARMIS – like full-time employees, part-time employees, volunteers, ex-employees etc. CARMIS will only identify those users who have an associated license key as the licensed users.
Example: An agency has 5 users in CARMIS – Jane, Jenny, Joe, Sandy and Tim; but only Jenny, Sandy and Tim have the CARMIS license keys. CARMIS will count 3 licensed users for licensing purposes.
In a situation where a staff member leaves the agency, who was also a CARMIS licensed user, you can deactivate the user’s account within CARMIS. This will make that user’s license available to be assigned to a new staff member.
A CARMIS user-license is not attached to the user account permanently.
Absolutely. If you have an active contract of CARMIS, you can add licenses in the middle of the contract period. The licenses will be costed at the contracted rate, and prorated to the end-date of the ongoing contract period.
Example: You have an ongoing contract for 10 users from August to July, and would like to add 1 more license in the beginning of March. Cost for the new licensing will be calculated for 5 months (March to July).
