How to Send Text Messages In CARMIS

CARMIS makes it easy to connect with your clients through powerful texting features. Send messages instantly or schedule them for later, and save reusable templates to work faster and more efficiently.

Set up and compose your text message

Step 1:  Open the 43 - Text Clients form, You can click on the hamburger menu and type text clients or the form # 43.

The form will open in the Text message tab.

Step 2: Click on the add button at the top

Step 3: Start filling up the form. There are multiple fields:

  • Send Text Form: Select the phone number the text message will be sent from. Note: Your agency can have more than one phone number.
  • Under Program: If the text message is related to a specific program, choose the program from the dropdown menu.
  • For online Events: This field displays upcoming online registration events created in CARMIS. If you selected a program in the previous field, only upcoming online events for that program will be shown.
  • Message Type: Choose the option that best matches the purpose of your message, such as Marketing or Reminder.
  • Campaign line: This works like a subject line. Enter a short description for the message.
  • Select template: Load a previously saved template that you can reuse.
  • Smart form(s): Include links to your agency’s Smart Forms, such as an intake form or volunteer form.

Step 4: In the body of the text message, write the message you want to send. You will also see the links that were previously selected. In this example, the Coffee, Chat & Community link is displayed.

Please notes: The message body includes a character counter that shows the size of your text message. This helps you track message length.

Step 5: The toggles below the text body will allow you set up different options:

  • Include Opt Out Option: When enabled, an opt‑out message is automatically added to the text, allowing recipients to reply STOP to unsubscribe.
    Note: For Marketing and Announcement message types, this option is enabled by default and cannot be changed.
  • Monitor Client replies: When this option is turned on, clients can reply to your messages. Any client replies will consume credits based on the length of their messages.
  • Schedule: This option allows you to schedule the message to be sent on a specific date and time. Click here to know more.

Step 6: Once you have set it up the text, clikc on recipents tab to add clients that yo want to send the text to.

Step 7: Click the Select Client button. This will open the client list, where you can search for clients, filter by Program or Registered For, and select the clients you want to send the text message to.

Once you have selected the clients, click Confirm Selection.

Step 8: To add an additional phone number to the recipient list, enter the number in the Add Another Number field and click the green plus (+) button.

Step 9: To remove a client from the list, click the red Remove (X) button next to the client’s name.

Step 10: Once you are ready to send the text message, click Save. This will send the text message to the selected clients.

Schedule Text Messages

Step 1: To send a text message on a specific date and time, enable the Schedule toggle.

Step 2: Once the Schedule option is enabled, the date and time fields will appear. Select the desired date and time for the text message to be sent. You can type the date or select from the date and time from the dropdown. The Time Zone is predefined based on the location of the agency.

Step 3: Once you have selected the desired date and time, click OK.

How to save a template

Step 1:Once you have written the body of the text message, click on the save this text as a new template button at the bottom of the screen.

Step 2: This will open a new window where you can enter the template name and set its availability. You can choose whether the template will be available to the entire organization or only to you.

Step 3: Click on the "OK" button to save the new template.

Step 4: The saved template will now appear in the Select Template field.

How Credits work

On the top right of your screen you will see the credits that will be used for each text message:

Note: Credits are calculated per 160 characters, per recipient. Messages longer than 160 characters use multiple credits.
Example: A 2‑part message sent to 2 recipients uses 4 credits.

The current text message size is displayed at the bottom‑right of the message body field, so you can see how many characters you’re using.
